    Up until recently, we've had a fairly lax policy on both when an RFP should be utilized and what that RFP should look like. We are still not bound by a strict set of rules, but we have decided to beef up our requirements and are creating templates for the process. That said, does anyone have any recommendations on source material we might study to make sure we've covered all our bases?

    When determining which vendors will warrant an RFP you will want to base this off the apparent risk and criticality associated with the prospective vendor and the overall service that is being requested.  For example, IT software vendors that have large spend and will touch several areas within the organization from a data sensitivity standpoint should be completing an RFP. 

    As for the information that should be covered in an RFP it should include, but not be limited to, the following topics:

    1. General Company Information
    2. Financial and Legal Information
    3. Compliance and Security
    4. Implementation and Onboarding
    5. Service Capabilities
    6. Training and Documentation
    7. Customer Support and Account Management
    8. References
    9. Pricing

    Additionally, RFPs that are catered towards a software provider should also include questions surrounding:

    1. Software Capabilities
    2. Application Architecture
    3. Hardware/Software Requirements
    4. Application Security
    5. Administration Capabilities
    6. Software Releases
    7. Patching and Protection
    8. Integration Opportunities
    9. Hosting
    10. Disaster Recovery and Business Continuity
