We use Qvidian. It takes a commitment to set it up and to make it work but It works and we are able to be more nimble. Have a look to see if it will work for you.

    Thank you.

Would you be able to provide how you use Qvidian/pros and cons, cost, etc.

We will use this across the company for all RFPs, sales responses, and other package responses. At the moment, it is used by 3 different large business units.

Qvidian pricing was inline with other vendors given the package we were looking for. This included a customizable response package builder, the ability to have answers from a broad set of questions, and the ability to change all the response documents on the fly (Executive Summary, scope, requirements, ets). We also limited our scope to the Online Services because we needed WW access 24x7.

    Pros:
    • Extensibility - different selectable modules can be created added and reused. These are completely customizable.
    • Customizable - you really can craft many different responses to fit all sorts of situations and requests.
    • Flexible - easy to pick and choose what goes into the response, add, subtract, modify, etc.
    • Big and Fast database to accommodate documents and questions from may different groups with different business objectives.
    Cons:
    • Big learning curve - this system lacks some intuitiveness.
    • Lots of work to customize - took 3-5 people about 6 months to accomplish all the goals for our MVP

Now that it is up and running we are happy. It does all this and more. There also several stakeholders with different agendas which complicated the work to make this viable.  Have a plan, stick to the plan, make it work ASAP.. tweak later.
